Job Description

We are seeking a highly organized and detail-oriented Medical Administrative Assistant to support the day-to-day operations of our clinic. The ideal candidate will have experience in a medical office setting and excellent customer service skills.


·       Coordinate and confirm medical appointments for patients via email, phone calls, faxes and messages while adhering to established clinic protocols;

·       Manage patient intake and registration, including verifying patient’s personal and medical information, collecting intake forms and filing them accurately;

·       Accurately input patients’ medical reports and maintain records of correspondence between medical staff and patients in the clinic’s electronic medical record system OscarEMR;

·       Create and maintain comprehensive patient medical files and records, ensuring the confidentiality and privacy of patients is maintained at all times;

·       Provide medical staff with administrative support, including ordering medical supplies and equipment, preparing and processing invoices and completing various forms and documents;

·       Provide assistance to general practitioners in taking samples for pap smears and chlamydia tests, as well as measuring vitals and performing vision tests;

·       Process referrals, manage results, and schedule radiology and laboratory appointments for patients as directed by medical staff;

·       Collect and prepare laboratory specimens or perform basic laboratory tests on the premises, while adhering to proper disposal procedures for contaminated supplies and sterilization of medical instruments;

·       Process invoices, ensuring accuracy and completeness of billing information;

·       Process insurance and other claim forms for patients, including verifying eligibility and submitting claims on behalf of patients;

·       Collaborate with medical staff, clinic manager and other team members to ensure efficient clinic operations and patient care;

·       Provide training and support to new medical administrative staff as needed;

·       Perform other related duties as assigned.



·       Completion of a recognized medical administrative assistant program or equivalent work experience;

·       Excellent communication skills

·       Strong interpersonal skills and the ability to work effectively with patients, families and medical staff;

·       Familiarity with medical terminology, billing procedures and insurance regulations;

·       Experience working with electronic medical records systems, preferably OscarEMR;

·       Strong organizational and time-management skills, with the ability to multitask and prioritize duties;

·       Proficiency in MS Office applications, and Experience with medical billing software and online billing portals.
