Job Description

Spacious Construction Corporation was founded in 2004, previously known as Developments Ltd., and is a licensed Builder with HPO 2-5-10 year home warranty that provides comprehensive construction services in BC. SCC specializes in the construction of infrastructure, industrial and commercial, institutional and hospital projects, and estate developments. We also provide cost consulting and project management services.

Now we are looking for an Administrative Assistant to provide administrative and clerical support to ensure the smooth daily operation of the company's administrative functions.

Essential Duties and Responsibilities

  • Answer phones, check emails, forward enquiries to appropriate personnel, and conduct follow-ups with colleagues or customers.
  • Follow established procedures for record-keeping and reporting data and messages, and assist in preparing correspondence, brochures, progress reports, and other company documents.
  • Coordinate and maintain communication with internal colleagues, external subcontractors, and vendors to ensure work efficiency.
  • Create, organize and maintain company files, including client files, contractor agreements, and progress reports to ensure accurate and up-to-date information.
  • Manage office calendar, schedule meetings, visits, deliveries, installations, inspections, etc.
  • Prepare, develop and distribute meeting agendas and minutes.
  • Arrange for and coordinate travels, site visits, and special events for company staff and customers.
  • Support and assist colleagues in administrative activities such as familiarizing them with administrative policies and procedures, training them on using office equipment or tools, etc.
  • Track and manage inventory of office supplies such as job site materials and safety equipment.
  • Collect data, information or materials for management or professionals to support research or launch of specific projects.
  • Perform other general office duties as assigned, such as filing, scanning, and data entry.

Skills & Qualifications:

  • Completion of high school or equivalent, a diploma or certificate in office administration or a related field is preferred
  • Customer service or clerical experience is an asset
  • Excellent communication and interpersonal skills
  • Proficient in MS office software and other office management applications
  • Strong organization and time management skills
  • Attention to details
