As our business is growing, we are now looking for a driven Real Estate Administrative Assistant to provide administrative support to our agents and real estate partners.




·           Answer the phones and relay all messages in an accurate, quick, and pleasant manner.

·           Manage and respond to all incoming email and regular mail on a daily basis.

·           Schedule and coordinate calendar of appointments, meetings and travel itineraries.

·           Maintain a digital and filing system and ensure all pertinent documents including purchase and sales contracts, etc. are properly filed.

·           Managing and ordering office supplies and making sure all office is being maintained in working conditions.

·           Prepare real estate forms, contracts, documents and correspondence, and distribute written correspondence to both current and prospective clients.

·           Provide assistance to new associate brokers and representatives in matters relating to rules and office procedures of the brokerage

·           Enter new contact names, address and emails from information request, open house guest books and other resources in our database.

·           Perform some basic bookkeeping duties such as credit card reconciliation and keeping expense report for the Director

·           Act as courier to deliver documents, pick up keys, as required from time to time.

·           Complete all listing preparation and presentation activities when listing opportunities occurs.

·           Ensure the office is running smoothly, kept clean, tidy and well organized at all times.

·           Provide other administrative duties to other real estate agents, associates and partners as required.


Job Requirements:


·           Completion of High School

·           Minimum two years working experience in an office environment is required

·           High-energy individual with a tendency and ability to take initiative, follow through and see tasks through to completion.

·           Ability to solve problems in standard situations.

·           Customer Service experience is a plus

·           Acute attention to detail.

·           Expert Level with MS-Office, such a Word, Excel and PowerPoint

·           Ability to work independently with little supervision.

·           Ability to work well under pressure, with multiple deadlines, and on various projects.

·           Ability to calculate intermediate figures such as percentages, discounts and basic financial analysis is an asset

·           Proficiency in Mandarin is an asset to assist Chinese-speaking associate brokers and representatives
